About the role:

Location: Aberdeenshire (Boyndie or Kintore)

Hours: 37.5 hours per week


The Business Apprentice will provide essential administrative support to the Sales Department personnel, handling telephone calls, emails, and other correspondence in a professional manner thereby contributing to the efficient and effective coordination and processing of all Sales Enquiries and Order Confirmations. They will play a key role in supporting the daily operations and acting as a point of contact for both internal and external communications.

This is a 2-year fixed-term Modern Apprenticeship. As part of this Apprenticeship, the successful candidate will be required to undertake a Scottish Vocational Qualification (SVQ) in Business and Administration at SCQF Level 6, delivered by North East Scotland College.

This is a workplace-based qualification, and the successful candidate will be expected to complete all coursework as instructed and meet deadlines set by their college assessor. The candidate must be willing to travel to the Aberdeen City Campus when required for induction sessions, exams, or other essential activities related to the qualification.

As part of the apprenticeship, there may also be opportunities for secondments to other departments within the Group for limited periods, helping to broaden skills and meet course requirements. 

You’ll gain hands-on experience in a busy international business environment, develop a wide range of transferable administrative and organisational skills, and work towards a recognised qualification while earning and learning on the job.


About the team:

You will be joining our Sales Division, reporting directly to the Sales Administration Manager, and working closely with a dynamic team of professionals dedicated to delivering exceptional customer service.

The Sales team is central to Motive's operations, ensuring that highest standards are consistently worked towards and improved upon, to meet the demands of our clients worldwide. This role will contribute to maintaining and improving the services we provide to our clients and helping drive the success of Motive's sales efforts.

And you’ll be working alongside a committed and proud Motive team in the UK and globally that want to play their part in the growth of the business and support each other daily to create a positive, values driven and hard-working professional environment.

Responsibilities:

People

  • Adopting and promoting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making.
  • Work closely with the Sales Team, assisting with enquiries as necessary.
  • Liaise and correspond with key stakeholders e.g. clients, suppliers and other Departments in a professional manner, developing and maintaining good working relationships.
  • Provide sales administrative support to Motive Offshore personnel based overseas as required

Planet

  • Adhere to and participate in company-wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives.
  • Assist in the completion of vendor approval documentation.
  • Attend exhibitions and sales events as required.
  • Undertake training and CPD as required.
  • Comply with and promote health, safety, quality and environmental regulations and policies, and the Company’s management system.
  • Be a positive ambassador for Motive Offshore Group Ltd.

Product

  • Assist in the registration of new enquiries on Salesforce.
  • Provide administrative support on opportunities logged on Salesforce within the Motive Offshore Group and fulfil a Salesforce Administrator role, including updating the system regularly.
  • Assist with sales enquiries and sales initiatives as required.
  • Process purchase order reviews and complete the necessary documentation
  • Provide administrative support to Sales including diary planning, briefing packs for meetings, room bookings and travel arrangements as required
  • With training, prepare Sales reports and other documentation for Sales meetings.
  • Assist with Sales Coordinator tasks involving other MOG Divisions as required.
  • Monitor the group info mailbox and allocate/forward as required.


Required skills / knowledge:

  • Some experience of working in Sales or Customer Service environment would be preferred, but not a necessity – full training can be provided
  • Interested in working towards a Business Administration qualification.
  • Good understanding of office management principles
  • Demonstrable ability to multi-task and adhere to deadlines
  • Well-organised with a customer-oriented approach
  • Excellent knowledge of MS Office
  • Ability to work on own initiative and as part of team
  • Good presentation skills
