About the role:

Hours: Full Time

The Logistics & Purchasing Coordinator is responsible for managing the procurement of goods and services, coordinating transportation and distribution logistics, and ensuring the timely and cost-effective delivery of materials, all for the operations & projects at Motive Offshore Group in Norway.


For Logistics, this role is crucial for supporting the project delivery team with various tasks, including but not limited to; planning and forecasting of equipment, project meetings, internal/external communications, schedule updates & logistical arrangements to keep the projects running smoothly.


For Purchasing, it is a key function for the business when procuring essential goods, equipment and services as required, ensuring internal process and procedures are followed.


About the team:

You’ll be joining our Motive team, who are mainly based in Stavanger. Over the past few years, this team has grown significantly as Motive continues to expand, and our intention is to continue this. Reporting into Operations Manager Norway, you’ll be working alongside an operations team that strive for high quality service of work. 


You will also be working alongside a committed and proud Motive team globally that want to play their part in the growth of the business and support each other daily to create a positive, values driven and hard-working professional environment. 


Responsibilities:

People

  • Adopting and promoting the Motive Offshore Group People Values and ensuring their use is embedded throughout day-to-day tasks and decision making.
  • Liaise and correspond with key stakeholders e.g. clients, suppliers and other Departments in a professional manner; developing and maintaining good working relationships.
  • Participate in internal handover/KOMs.
  • Supporting and assisting Project Managers.
  • Communicate with procurement, manufacturing and workshops to determine delivery dates.

Planet

  • Immediately report all accidents, incidents, near misses or environmental concerns
  • Adhere to and participate in company-wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives.
  • Ensure compliance with relevant laws, regulations, and ethical standards.
  • Identify and report any project risks and support the development of appropriate mitigation strategies.

Product

Logistics

  • Coordinate inbound and outbound logistics activities, including transportation, warehousing, and inventory management.
  • Preparing import declarations using commercial invoices and packing lists.
  • Planning & forecasting of equipment/logistical requirements for upcoming operations.
  • Plan and track shipments, ensuring timely delivery and cost-efficiency.
  • Manage customs documentation, freight forwarders, and logistics service providers
  • Maintain status of all rental equipment within company equipment utilisation system.
  • Liaise with operational teams to ensure timely and accurate allocation of equipment, logistic arrangements, load outs & demobilisations.
  • Consistently review and monitor shipping methods to reduce costs and delivery times.
  • Identifying and off-hiring cross-hired equipment to suppliers.
  • Manage all logistics-related complaints, issues, and damages efficiently.
  • Preparation of project specific documentation & progress reports as required.
  • Conduct regular quality checks to ensure project adherence to established standards.
  • Review & maintain the accuracy of projects, scope & schedule.

Purchasing

  • Support procurement activities based on project specifications and client requirements.
  • Source, evaluate, and negotiate with suppliers to ensure the best price, quality, and delivery terms.
  • Prepare and process purchase orders and requisitions.
  • Maintain accurate purchasing records and vendor databases.
  • Monitor supplier performance and maintain strong vendor relationships.
  • Ensure compliance with company policies and procurement standards.
  • Create POs in line with required delivery times form the various authorised requisitioners.
  • Administration of purchase orders within purchasing system.
  • Completion of costing sheets and submit to Finance for invoicing in a timely manner.
  • Manage internal records and processes.
  • Liaise with operation department and Finance and carry out sufficient expediting to ensure that all delivery times are sufficient to meet project deadlines.


Required skills / knowledge:

  • Proven experience in logistics, purchasing, or supply chain roles.
  • Knowledge of procurement procedures and supply chain operations.
  • Familiarity with logistics software
  • Strong negotiation, communication, and organisational skills.
  • Ability to analyse data and make cost-effective decisions.
  • Good understanding of import/export regulations
  • Experience in freight forwarding/import/export operations
  • Strong IT skills in MS office including outlook, excel and word. 
  • Good attention to detail & ability to multi-task
